How to handle too many Instagram DMs as a small business

Too many Instagram DMs? Sort your inbox, use saved replies and away messages, send FAQs to a 24/7 chat link and keep real problems for a person.

Short answer: Sort your inbox so real conversations come first. Answer the common questions once, with saved replies and Instagram's frequently asked questions. Turn on an away message for when you're closed. Then move the repeat questions (prices, hours, delivery, "how do I book") off Instagram to an assistant that answers any time, through a chat link in your bio and in those replies. Keep your own time for orders, complaints and anything that needs a person.

This guide is for salons, studios, bakeries, boutiques, tour operators and other small businesses whose DMs have turned into a second job.

Instagram and Meta details were checked on their help pages on 3 November 2026. Menus change, so check the sources if something looks different.

Why the DMs pile up

Most messages to a small business are the same handful of questions. They come at all hours, and each one feels quick to answer, until there are fifty. Meanwhile the messages that matter, a big order or an unhappy customer, sit between "price?" and "are you open today?".

The fix isn't to type faster. It's to answer each common question once, and to send it somewhere that answers by itself.

1. Sort your inbox

Business and creator accounts on Instagram get an inbox with three folders:

  • Primary for messages you want to see first. New messages land here, with notifications on.
  • General for messages to come back to later. Swipe a chat there; its notifications are off by default.
  • Requests for messages from people you haven't accepted yet.

You can also flag a chat or mark it unread to follow up, and filter to see only unread or flagged chats. A simple routine: once or twice a day, move anything that's just a question to General after you've answered it, and flag anything that needs real work.

If you don't have a business or creator account yet, switching gives you these tools. Instagram calls them professional accounts.

2. Write each common answer once

Saved replies

Write your best answer to a common question, send it once, then hold the message, tap More and Save, and give it a shortcut like /hours or /price. Next time, type the shortcut and tap the chat icon to fill in the reply. Instagram may also suggest a saved reply as you type.

Five or six saved replies usually cover most of the inbox.

Frequently asked questions in chats

You can show up to four questions that people can tap when they start a message to you, each with an optional automated response. Set them up under Messages > Tools > Frequently asked questions. Pick your four most common questions and answer them in the automated response.

3. Set an away message for closed hours

If your Instagram business account is connected to Meta Business Suite, its Inbox has Automations. The useful ones for a small business:

  • Away message: a reply when you're not available.
  • Instant reply: a greeting to someone's first message.
  • Hours, Location and Contact information: replies to those questions.
  • Custom keywords (desktop only): a reply when a message contains words you choose, like "price" or "delivery". Meta says these can include links.

A good away message sets expectations and gives people a way to get an answer now: "Thanks for your message. We're closed right now and reply from 9am. For prices, hours and bookings, our assistant answers any time: [your chat link]."

4. Move the repeat questions to a 24/7 assistant

Saved replies still need you to send them. An AI assistant answers on its own, from your own prices and policies, while you work or sleep.

Ansa doesn't reply inside Instagram DMs. It answers at its own chat link, a page that opens in the customer's browser. You share that link where people find you:

  • In your bio, as one of your up to 5 links.
  • In a Story with a link sticker, saved as a Highlight so it stays on your profile.
  • In your saved replies, FAQ answers and away message, so people who DM you can get the answer straight away.

The step-by-step setup is in How to add an AI chatbot to your Instagram or TikTok bio.

What the assistant handles:

  • Prices, hours, services, delivery and policies, from your website, uploaded documents and Q&A pairs. If the answer isn't there, it says so instead of guessing.
  • Bookings. It shares your booking link on every plan, and offers real free times from Google Calendar or Calendly on Pro and Business. See Take bookings in the chat.
  • Questions it couldn't answer are saved under Unanswered questions, so you can add the answer once and it's covered from then on.

Chats from the link show in Conversations labelled Chat link.

5. Send real problems to a person

Some messages need you: a complaint, a wedding cake, a group tour, a refund. Don't let them get lost.

  • On Instagram, flag them or keep them in Primary, so they don't sink under the questions.
  • In the Ansa chat, on Starter, Pro and Business, Ansa takes the customer's email (and phone number, if you like) when it can't help or they ask for a person, and emails you their request with a summary of the chat. You reply from your own inbox. See When Ansa can't help.

6. Offer WhatsApp as well

Many customers would rather message you on WhatsApp. Unlike Instagram, Ansa can reply there directly: on Starter, Pro and Business, it answers on your own WhatsApp Business number, from the same knowledge as your chat link. Add your WhatsApp link to your bio, and messages there get answered even when you're busy.

Each reply uses one answer from your Ansa plan; Meta bills its own WhatsApp message fees. See Connect your WhatsApp number and WhatsApp costs.

Other ways to handle the load

  • Instagram's own tools only. Saved replies, FAQs and Meta Business Suite automations are free and may be enough if you get a few dozen messages a week.
  • DM automation tools. Some tools reply inside Instagram DMs and comments. For example, Manychat automates Instagram DM and comment replies and says it is a Meta official business partner. These suit businesses that want the answers inside Instagram itself.
  • Shared inbox tools. Helpdesk tools bring Instagram, WhatsApp and website chat into one inbox for a team. See The best AI customer support chatbots for small businesses.

FAQ

How do I stop getting the same Instagram DMs?

You can't stop people asking, but you can answer once. Add saved replies and up to four frequently asked questions in Instagram chats, and put a chat link in your bio so people can get the answer before they message.

Can I set an away message on Instagram?

Yes, through Meta Business Suite, if your Instagram business account is connected to it. Go to Inbox > Automations and choose Away message.

Does Ansa reply to Instagram DMs?

No. Ansa answers at its own chat link, which you share in your bio, Stories and DM replies, and on your own WhatsApp number on Starter, Pro and Business.

How fast should a small business reply to DMs?

As fast as you can, but set expectations. An away message that says when you'll reply, plus a chat link that answers now, stops most people waiting at all.

What should still go to a person?

Complaints, refunds, custom orders, large or group bookings, and anything where the customer is upset. Flag those on Instagram, and turn on hand-off in Ansa on Starter, Pro and Business.
