Take bookings in the chat

Let visitors book a time with you: share a booking link, or offer real free times from Google Calendar or Calendly and book them in the chat.

Last updated

When someone asks to book, visit or meet, Ansa can hand out your booking link or offer real free times. Booking is off until you turn it on, in Actions in your dashboard.

Three ways to take bookings

  • Share a booking link. Ansa gives visitors the link you add (your own booking page). On every plan.
  • Book into Google Calendar. Ansa checks your calendar, offers free times inside your opening hours and books the one the visitor picks. The visitor gets a calendar invitation by email. On Pro and Business.
  • Book with Calendly. Ansa shows your free times from Calendly. The visitor then confirms on Calendly's page, through a link made just for them. On Pro and Business.

Only the owner or an admin can change booking settings or connect an account.

  1. Open Actions, find Take bookings and choose Share a booking link.
  2. Paste the link and save.

Book into Google Calendar

  1. Open Actions, find Take bookings and choose Book into Google Calendar.
  2. Click Connect Google Calendar and sign in with the Google account whose calendar takes bookings. Allow both permissions: Ansa needs to see when you're busy and to add bookings.
  3. Google may warn that the app isn't verified yet. Choose Advanced, then Continue. Ansa only reads when you're busy and adds the bookings visitors make; it never reads your event details.
  4. Set your timezone, how long a booking is, your opening hours, how soon the first time can be, and how far ahead visitors can book. Save.

If the Google account has several calendars, pick the one bookings go into. Each booking appears there with the visitor's name, email and note, and the visitor is invited to it.

If your Google password changes or you remove Ansa from your Google account, the card says Needs attention. Disconnect and connect again.

Book with Calendly

  1. In Calendly, open Integrations, then API & webhooks, and click Get a token now. Name it “Ansa” and tick two scopes: users:read and event_types:read. Copy the token: Calendly shows it only once.
  2. In Actions under Take bookings, choose Book with Calendly, paste the token and click Connect Calendly.
  3. Pick the event type visitors book, set your timezone and how far ahead they can book, then save.

Calendly doesn't let other apps make bookings, so the chat gets the visitor to the last step: Ansa shows the free times, the visitor picks one, and Ansa gives them a link that opens on that time with their name and email filled in. The booking is made when they click Schedule Event on Calendly's page.

What happens in the chat

Ansa asks for the visitor's name and email address before booking, then confirms the time. It never makes up free times: if the calendar can't be reached, it says so and suggests contacting you. Conversations with a booking show Booked in Conversations.

Turn booking off

In Actions under Take bookings, choose Off and save. Bookings already made stay in your calendar. To remove Ansa's access to your calendar as well, click Disconnect.
